Making a booking

 

How can I book a tour?

To book your tour, please visit www.westtrekbook.com, or come visit us at our office and make your reservation in person.  We are located at Suite #520 – 744 West Hastings Street, Vancouver BC.  Please note that if you would like to take advantage of the cash discounted price, you will have to come to our office to book your tour.

When should I book?

You can book your tour at any time, however we recommend making your decision and confirm your spot as soon as possible.  The trips fill up quite quickly and we would not want you to miss out on a great experience, especially if your time here in Canada is limited!

Do I have to be a student to book a tour?  Is there an age limit?

Although the majority of our passengers are students between the ages of 18 and 35, anyone is welcome to join one of our tours!  You do not need to be a student yourself, and you can be any age.  As long as you have a good sense of humour and are there to have a good time and enjoy the destination, you will have a fantastic trip. We like to say that our tours are for the young and the young at heart!

What is the minimum age to go on the tours?

The minimum —age is 5 years old. Anybody under 19 years old has to get a waiver signed by their parent/chaperone/legal guardian and send it to us via email (waiver@westtrek.com) or fax (+1.604-408-9393) before the departure date.

What is included in the price?

Transportation, tax, and tips are included in all tours. On all overnight tours accommodation is included. Some tours also have some meals included also!

Do you offer any student discounts?

Yes! See our pricing for  the differences between students and adults.

Do you offer any group discounts? 

Yes! Please contact us via email, or visit our office to arrange this.

Can I go on a tour by myself?

Yes, absolutely! You will find many new friends from all over the world on our tours!

Can I cancel my tour if my plans change and will I get a full refund?

Yes, you can cancel your tour. However, we can only give you a full refund if our office receives notice of the cancellation 10 days or more before departure.

Can I change the date of my tour?

If you inform us about the change 10 days before the tour departure date, and if there are spaces available on the requested date, yes!

Do I have to book my optional activities before going on the tour?

It depends on the tour you are going on, however some activities will sell out in advance, so we always recommend signing up when you book. Please check further down for the tour that applies to you.

Rooming

 

How many people will I be sharing a room with?

On most overnight trips, prices are based on four people sharing one room with two queen sized beds. The rooms are divided by gender (females with females, males with males).

We are a group of four friends, can we share a room?

Yes, you can share a room with your friends, just let us know about it in advance or by using the notes section when you book your tour. This also applies if your group of friends is both girls and guys. However, if you are under the age of 19, you will need an acceptance letter from your parents for this.

Are there any double or triple rooms available?

Yes, however there are a strictly limited number of room upgrades available. Room upgrades must be purchased in advance.

General Tour Info

 

What do I have to bring?

Please bring all weather clothing, proof of medical insurance, passport, student ID, good walking shoes, water bottle with lid, cash for meals and souvenirs, your camera. For overnight tours you will also have to bring toiletries.

Where is the meeting point for the tour?

The meeting point and drop off point is at the corner of Seymour and Cordova Street, which is located opposite Waterfront Station in downtown Vancouver.  You will see a large white bus in front of the Tim Hortons, and a West Trek tour guide wearing a bright orange shirt or jacket.

What time do we arrive back in Vancouver?

The return time depends on which tour you are on:

  • Rocky Mountain tour:  ~ 7 pm
  • Whistler:  ~ 8:45 pm
  • Seattle:  ~ 9:30 pm
  • Victoria:  ~ 9:30 pm

Please be aware these times are subject to change due to variations in traffic, weather, and delays in border crossing.

Do I need medical insurance?

Medical insurance for the tours is not required, however it is highly recommended.  If you unfortunately get hurt or sick while you are on a trip, and need to go to the hospital, if you don’t have insurance then you would be required to pay a very expensive medical bill.

The Rocky Mountains

 

What are the differences between the Rocky Mountain summer tours?

The difference between the tours are as follows:

The Explorer spends one night in Valemount, one night in Banff, and one night in custom cabins outside of Golden.  These cabins were just built last summer, exclusively for West Trek Tours.

The Canadian spends on night in Valemount, one night in Banff, and one night in a normal hotel in Golden.  Even though it is a normal hotel, we are still able to have a campfire here.

The Go Cheap tour spends one night in Valemount, and two nights at a regular hotel in Golden.  Although you do not spend the night in Banff you do get to see it.

For each tour, all the sightseeing destinations are the same.  The difference in price is in regards to accommodations.

What hotels do we stay at?

The hotels that we stay at depend on availability each weekend, however there are a few in each destination that we use on a regular basis:

Do I have to book my optional activities before going on the tour?

No, you can also decide on the bus if you would like to join for the optional activities. However, you will have to pay cash when booking on the bus.

Is there a lot of difficult hiking?

No, we are not doing any difficult or exhausting hikes. However, we recommend you always bring enough water and comfortable shoes.

What is the optional activity “The Glacier Snocoach”?

The Snocoach is a bus that brings you up on the Athabasca Glacier. It has big, big tires so that it can drive on the ice. You get the time to get off the bus on the glacier to take some pictures or to fill up your water bottle with real glacier water.

Do I need to bring a sleeping bag/sheets/towels?

No, you will be staying in hotels where sheets and towels will be provided.

Do I need to bring any swimwear?

We will go for a swim in one of the lakes in the Rocky Mountains. If you want to join for this Polar bear swim, please bring your swimwear!

How long does it take to get to the Rockies?

It usually takes approximately 8 hours to enter the Rockies area. However, we will be making a stop every 2 hours to stretch legs and for a quick bathroom break!

Where do we stop to get food?

We stop at places where you can find all sorts of places to buy food like grocery stores, cafes, restaurants, and food courts.

Seattle

 

Do I need a Visa when going to the USA?

This depends on the country you are from. If you are from a VWP (Visa Waiver Program) Country, you will not need a visa. If you are from any other country, you will need a visa, for example a B-1, B-2, or F-1 visa. Visit http://www.travel.state.gov/ to get your visa.

What do I need to bring?

You will have to bring your passport (biometric passport) and your visa if you need one. Furthermore, you will need 6 USD (not CAD). Also, make sure you bring your visa for Canada so that on your way back you will be able to enter Canada again.

How much time do we have downtown on the city tour?

On the 1-day-tour you usually have 4-5 hours downtown, however this depends on the time we need to get through the border. If you want to, you can join for a quick walking tour with the guide or you are free to spend all your time however you want.

On the 2-day tour you have the first night to explore the city (if you are not going to the baseball game) and also a few hours the next morning before heading back to Vancouver.

Will we go up the Space Needle during the guided walking tour?

No, but you usually have time to do this by yourself during your free time.

How long does it take to get to Seattle?

It is approximately 1 hour to the boarder. From there it is another 2 hours to Seattle. However, it always depends on the traffic we hit on the streets.

What kind of seats do I get for the baseball game (2-day-tour)?

The seats are either 3rd floor behind home, or bullpen/field seats.

Do I have to decide now if I want to go shopping or sightseeing (1-day-tour)?

Since it will be the same bus for the shopping and the sightseeing you can decide last-minute on the bus if you would like to go shopping or sightseeing.

How will tax effect my shopping when coming back to Canada?

How much money you spend is your choice, but we are finding that students who spend a large amount of money (more than $400) and stay in Canada for a long time are being charged tax. Do not buy cigarettes or alcohol, you will be taxed 200%.

Victoria

 

Do I have to book my optional activities before going on the tour?

No, you can also decide on the bus if you would like to join for the optional activities. You will have to pay cash when booking on the bus. However, we recommend you book the optional activities in advance since we only have a limited number of tickets.

Is there enough time to join for all the optional activities?

Theoretically, there is enough time to join all three optional activities. However, we recommend you pick two out of the three if you also would like some time to explore Victoria.

Is the walking tour included in the price?

Yes, it is included and takes you to the most known places in Victoria.

Whistler

 

Do I have to book my optional activities before going on the tour?

If you are under 19 years old you will have to sign up for all optional activities in advance to make sure you will have the right waiver signed. Is there enough time to join for all the optional activities?

We can’t answer this question generally. It always depends on the activities you choose to take and on the time you will be scheduled for.

Is the Peak2Peak Gondola included in the price?

No, it is not included. But you can purchase the ticket through us.

Is there enough to do in Whistler if I don’t join for any optional activities?

Absolutely! If you do not join for any optional activities, you can explore the city or join for the (free) guided hike to Lost Lake. Do not worry it is not a difficult hike!
